Back-up Operations Management

Often companies need a professional to step in temporarily in a Manager’s role. This can often happen during corporate buy-outs, termination, or sick leave. Ruth Miller has often helped companies in this way. She quickly assesses the department’s needs and takes on the Manager’s role immediately. She handles all open issues left by the prior Manager including; all administrative functions, training, employee hiring, termination (if needed), goal setting and team building.
Below are a few recent assignments:

  • Materials Manager position for 9 months, managing Purchasing, Planning and Warehouse operations. Worked with staff to improve reporting measurements. Reduced inventory dollars while increasing product availability to shop floor and sales. Interviewed, hired and trained replacement.
  • Stepped in as Warehouse Manager for several months. During this time, worked with crew to get additional equipment needed to do their jobs safely. Worked with other downstream departments to improve delivery timeliness and accuracy. Interviewed, hired and trained replacement.
  • Have taken over Executive Staff functions when executive is on business trips and/or out of the country for brief periods of time.

Facility Layout and Warehouse Redesign

Storage space is increasingly expensive. Ruth Miller is skilled in both layouts for new and currently inhabited facilities. Warehouse redesign is a favorite project as the rewards and appreciations are great.
Below are a few examples of completed projects:

  • Consolidated two remote warehouses into another warehouse. Designed and coordinated installation of narrow aisle storage techniques and a horizontal carousel system.

  • Designed new layout for production floor to reduce space used by manufacturing to add room for additional product line. Coordinated the move and handled all issues that arose.

  • Have redesigned layout of warehouses several times over the years. Utilize practical storage techniques and process flow for incoming receipts, storage, picking, packing and shipping. Handle all aspects of change-over from selecting equipment suppliers to purchase, installation, move and set-up.

Same-Day Shipping Set-up
  • Set-up spare parts inventory for same day delivery to catalog customers for a local manufacturer of large equipment. Utilized company’s older model computer system and lower-level employees. All necessary personnel were trained with reference documentation prepared by Ruth Miller Consulting. All issues were resolved and project reached goal of same day delivery for cataloged spare parts.

  • Set-up new same-day catalog shipping area. Met with Sales and Customer Service departments on new catalog being produced and goals to be met by shipping area. Worked closely with Buyers to incorporate new requirements into their sessions. Designed new shipping area, ordered equipment necessary, hired staff and trained on new process. Successful from very first day of launch.

Documentation

All successful implementations and changes in companies need to have documentation for current and future training and audits. Ruth Miller Consulting will prepare all documentation needed to sustain the operations and changes to the highest level. Ruth has prepared documentation of all kinds, and also prepared procedures that have passed both ISO audits and FDA audits.
Examples of documentation prepared:

  • Training manuals for computer transactions for:
    • Inventory transactions such as transfers, inventory issue, physical inventory,
      Return Material Authorization (RMA), etc.
    • Cycle count procedure and audit process for Accounting department
    • Receiving & Shipping with all required transactions
    • Manufacturing – work order launch through completion
    • Subcontract product with flowchart and detail computer input needed
    • Item Master input with definitions for all fields

  • Process flowcharts for:
    • Customer order flow through entire company process ending with shipment
    • International shipment with detail on letter of credit and wire transfers
    • Purchasing, scheduling, manufacturing, warehouse processes, etc.

  • Other documentation:
    • New product introduction process and forms for necessary department inputs
